The cash book is an important part of your administration/accounting. Every counted day is being saved in your cash book. In the cash book you can see the already counted days, you can approve them and, if you have the rights, you can even modify the counting’s.

 

Analyzing a period

It is important that your settings are correctly set before you select a date. First you select the correct period. The period is the month of the cash book that you want to see. Then it is important that you think about how you want to show the cash registers. Do you have multiple cash registers? If that is the case, you can select at Cash register how you want to view them. An extra option is that you can add a filter on the desired user who counted the cash register, you can do this at Counter.

When you have set up everything to your liking, you can read the most important data in the overview with all data within the selected period. A standard is that you will see the most important parts, like starting cash, total turnover, total payment methods and end cash. If you want, you can show more details. You can do this by clicking on name in the row. A dropdown will be shown. If you click on, for example, starting cash you will see the option Added to cash book. When you click on Added to cash book, extra rows will be added to the overview.

 

View a specific day

By clicking on a specific date/day you will open all details about that date/day. In the popup you will see every data on that date/day that are filled in by the employee who counted it. If desired, you can make a change by clicking on the Edit-button. Do pay attention to this; if you make any changes to a specific day, it may influence your cash book balance. Therefore, it is not recommended to edit days when you have filled in days after the one you want to edit. Is a day correctly filled in and if you want to approve it, click on the Confirm-button. Attention: not every button will be visible for you. It depends on your rights which buttons will appear on your screen.

 

Approving days in bulk

The color of a specific day will tell you about its status. A orange background means that the day is filled in but not approved yet. You can edit or delete this if you want. A green background means that the specific day is approved and therefore can’t be edited. It can only be deleted by the owner of the account. Only approved days can be shown in the booking proposal and can be sent to the accounting package. 

With the help of the check boxes you can approve multiple days in one go. When you select one of more days to approve, you will see two different buttons on your page. Clicking the Confirm-button will approve all of the checked days in one go.
